Bid Coordinator | International Development

Location: London, Westminster (with remote working)
Salary: £36,750 to £42,000 D.O.E

Having been in operation for over a decade, we are the trusted partner of many bi-lateral and multi-lateral donors, including the UK Govt (FCDO, MOD, Home Office and NCA), the UN and USAID. Our programmes to date have seen us operate in 45 countries, supporting over 70 different beneficiary organisations. We are now embarking upon our next exciting chapter in which we are significantly increasing the scope and scale of our operation alongside our sister organisation, Axiom International. Our Opportunity

We have a great opportunity for a Bid Coordinator to join our growing and dynamic team of friendly high performing International Development professionals; based in our Westminster office. Reporting to the Head of Bidding, the Bid Coordinator role sits at the heart of our formal tender response process. You will be responsible for co-ordinating the production of proposals / bids (SQ, RFI, ITT, RFP etc) and take responsibility for input. Assisting the Head of Bids with the continuous development of all necessary proposal procedures and processes whilst being the champion of collaboration tools, document management and version control best practices. You must have previous experience in producing bids and demonstrate a strong understanding of proposal management; ensuring the timely delivery of compliant proposal documents within a complex business environment.

Key responsibilities
    • Create and own the bid plan and take overall responsibility for producing a compelling proposal, on time and within the agreed budget (if relevant).
    • Champion continuous development of proposal procedures and processes.
    • Produce and deliver compliant, professionally produced proposals within customer defined timeframes in line with the business win process, including:
      • Analyse and de-construct client SORs/ITTs to create compliance matrices, response trackers, and response outlines for completion by others.
      • Populate and update bid tools using template documents (e.g., logs for responses, risks, issues, client notices).
      • Implement document version control procedures and processes.
      • Organise and participate in bid meetings, reviews, deadlines, gateways – recording actions.
      • Search, log, and disseminate communications between the business and the Client (CQs/RFIs).
      • Coordinate and track proposal input from a variety of stakeholders, typically involving contributions from project delivery, solution architects, finance, reviewers and third parties.
      • Coordinate due diligence activities for onboarding consultants for the opportunity.
      • Format and proof the final responses to ensure a high-quality submission.
      • Upload the response documents (usually to an electronic portal).
    • †Monitor tender portals and incoming requests via email for information relating to any tenders that the Company may wish to consider.
    • †Maintain a library of compliant responses and be responsible for entering these elements into bids.
    • Maintain library of technical responses, case studies, and graphics (boilerplate).
Skills and Knowledge
    • Proven ability in planning, producing, and delivering compliant proposal documents within a complex business environment.
    • Knowledge of general procurement processes to include tenders and framework agreements.
    • Experience responding to UK Government tenders, specifically the FCDO, Home Office, and CSSF.
    • Experience responding to USAID and US DoS tenders including use of FedBizOps and an understanding of Federal Acquisition Regulations.
    • †Professional understanding of document templates, macros, and styles.
    • Proficient in Microsoft Office, SharePoint, Adobe Acrobat Professional, MS Project and MS Power BI.
    • †Excellent time management – able to manage time and tasks efficiently with good prioritisation.
    • Exceptional attention to detail, with strong written English language skills.
    • Extremely organized and process driven.
We would love you to have…
    • Current SC clearance or the ability to secure it.
    • Experience in the delivery of cross government activity.
    • Project management qualifications e.g., PRINCE2, Bid management qualifications e.g., APMP Apprenticeship or Foundation (Practitioner or Professional level desirable).

Security and Risk Trainer

Location: Bedfordshire

We are looking for an energetic and experienced security risk instructor to join our team. You will have relevant military experience to relate the training requirement to real-life scenarios, or an understanding of MoD Security Policy and its applicability.

You will be joining a 3-person team of experienced security and intelligence professionals responsible for delivering a range of courses. The training we provide will enable various security officer roles within the MoD to conduct the Security Risk Management process for the protection of information, personnel, and equipment assets.

This role would be ideal for former Intelligence Corps, RAF Police, RN Regulators or other former military/civilian personnel with detailed knowledge and experience of MoD Security Policies.

You will develop and deliver security training to a mixed military and civil service audience. You will also regularly review training material to ensure its currency in line with the Government Functional Standard (GovS-007 Security), formerly Security Policy Framework and various Training Requirements Authorities. In doing so your inputs will support the continual improvement of the security training output of the Defence community.

We would love you to have…
    • Experience in training and instructing, delivering courses within a classroom environment
    • Familiarity with MoD security policy, including JSP440
    • Significant counterintelligence and preventative security experience
    • An understanding of IT security and cyber threats is desirable (but not essential)
    • Current UK Government Security Clearance (or the ability to obtain it)
    • The ability to start ASAP

Skills & Knowledge
    • Professional qualification in education and training or Defence Train the Trainer (or other relevant equivalent qualification)
    • DITSO trained (desirable though not essential)
    • Experience delivering Defence Systems Approach to Training (DSAT) compliant training courses

Military/Police Instructors

Location: Middle East

Axiom and Torchlight Group are looking for a number of military and police training professionals to help deliver a 17 week Recruit Basic Training Course in the Middle East.

Deployment dates are currently planned for September 2022, following a short pre-deployment training package.

All applicants must have training experience within either the military, police, or law enforcement, as well as proven experience in lesson plan development and delivery.

Instructors will require relevant experience in one or more of the following subjects / disciplines: Drill, Weapons, Physical Training (PT), Self-Defence and Core Skills.
